The monitor, the five filters, and how reminders work without becoming noise.

Once a request is sent it needs watching. The monitor is where every request lives, sorted by what needs you.

The five filters

All — everything.

Out for signature — sent and not yet done. Your live pipeline.

Needs attention — the one to work from. A request lands here when a signer declined, when identity verification failed, or when the request has expired without completing. All three need a human decision, and none of them resolve themselves.

Completed — signed and done.

Voided / expired — closed without completing, kept as a record.

Working Needs attention daily is the whole discipline. Everything in it is stuck, and stuck requests don't announce themselves.

Reminders

Reminders can be sent from the monitor, either individually or as Send reminders across a selection.

A reminder schedule can be configured with Every so many days, Up to a maximum count. The cap matters — an uncapped reminder is a subscription to being ignored.

Send a reminder now fires one immediately, for the client you just got off the phone with.

What each state means

  • Declined — the signer actively refused. Find out why before re-sending; a decline is usually a question, not a no.
  • Identity verification failed — three attempts used. New request, or sign in person.
  • Expired — the window closed. Re-send with a longer window.
  • Voided — you cancelled it. The record stays.

Engagement letters

Engagement letters have their own flow — a letter template sent to a client or a group, rather than a document you assemble each time. They appear in the monitor alongside signature requests, marked as engagement letters so the two are distinguishable.

Notes and limits

  • Voiding a sent request invalidates the signing link immediately.
  • A completed request's document is filed against the client.
  • Expiry is set per request, not firm-wide.
  • Requests you lack permission for don't appear in the monitor.
