Send organizers

Send to one client or your whole book, filtered by type, tag, or office — and track what comes back.

Once a template is published, sending is a filtered bulk operation rather than a per-client task.

Sending in bulk

Bulk send selects recipients by filter rather than by ticking four hundred boxes:

  • All types — filter by entity type
  • All tags — filter by client tag
  • All offices — filter by office

This is where client tags earn their keep. Tag your 1040-only clients and your business clients, and each group gets the organizer built for them.

Clear all resets the selection when you've filtered yourself into a corner.

Statuses

Every sent organizer sits in one of six states:

  • Draft — created, not sent
  • Sent — issued
  • Delivered — it reached them
  • In progress — the client has started filling it in
  • Submitted — they've finished and sent it back
  • Canceled

In progress is the most useful state in the system. A client who started and stopped is a fundamentally different problem from one who never opened it. The first needs a nudge — they're probably stuck on one question. The second needs a different channel entirely, because your email isn't reaching them.

Filter on it in early February and you'll find the clients worth one phone call each.

Tracking delivery

The Delivery column shows what happened to the send. A delivery failure is worth acting on the same day — it means the address is wrong, and no amount of waiting fixes that.

Paper and digital together

Some clients will never fill in a web form. Organizer mailing is covered in the Mail Center guides, and runs from the same templates.

Clients can record a preference for paper, and a mail run can honour client preference so digital-happy clients aren't posted a thick envelope they didn't want.

Chasing

Work the board by status:

  • Sent but not Delivered → address problem, fix it now
  • Delivered, nothing since → they haven't opened it, try another channel
  • In progress → one phone call, they're stuck on something
  • Submitted → move to review

A weekly pass through those four buckets during January and February is more effective than a blanket reminder to everyone.

Notes and limits

  • One organizer per client per year.
  • A canceled organizer stays as a record.
  • Sending again to a client who already has one generally won't duplicate it.
  • Filters combine, so type plus tag plus office narrows to exactly the group you mean.
