Invite your team

Add staff, choose roles, and understand what each role can actually reach.

Invite someone

Send an invitation from the team page. Invitations that haven't been accepted sit under Pending invitations, where you can revoke them or use Share this invite link if the email hasn't arrived.

That link is the same fallback the client portal uses. If your firm's email sending isn't configured yet, copy the link and send it however you like — the invitation works the same either way.

The four roles

Owner — full control, including billing and ownership transfer. Every firm has one.

Admin — everything operational. Settings, team, pipelines, clients, money.

Staff — the working role. Clients and work, without firm-level configuration.

Read-only — can see, can't change. Right for a reviewer, an outside accountant, or anyone who needs visibility without edit rights.

Change someone's role with Change role on their row.

Permissions sit underneath roles

Roles are the shorthand. Underneath, access is governed by specific permissions — managing pipelines, revealing credentials, refunding payments, exporting documents, approving invoices, viewing the audit log, and around forty others.

This is why two people can open the same client and see different tabs. Credentials, Comp Studies, and Health are each behind their own permission, and a tab someone lacks access to doesn't appear at all rather than appearing greyed out.

If a colleague says a page is missing, it's usually a permission rather than a bug. Check their role first.

Managing existing members

Active members lists everyone in the firm with their email and when they were last active.

Per member you can:

  • Edit profile
  • Change role
  • Reset two-factor — for someone who's lost their device
  • Set Appointment hours — their availability for scheduling
  • Remove from firm

Ownership can be transferred to another member. That's a deliberate, confirmed action, since it moves control of the account.

Offices

If your firm has more than one location, set up Offices before inviting people. Office is a field on both people and work, and it drives assignment and filtering — retrofitting it across an existing team is more tedious than doing it first.

Notes and limits

  • Removing someone from the firm doesn't delete the work they did or the records they touched.
  • A pending invitation can be revoked at any point before it's accepted.
  • Read-only members still appear in assignee lists in some places. Don't assign them work.
  • Two-factor is per person, not enforced firm-wide from this page.
