Subtasks
Break a task into smaller steps, and control whether those steps gate the work moving forward.
Subtasks are the checklist inside a task. Prepare 1040 becomes gather documents, input, review, assemble, deliver.
Where to find it
Add a subtask
- Open the task and go to Subtasks.
- Type into the Subtask name… field.
- Add it.
Tick a subtask to complete it.
How subtasks affect the task
This is configured on the pipeline, not on individual tasks, and it's what makes subtasks more than a notepad.
Require all subtasks — whether every subtask must be complete before the task can advance. Turn this on for work with a genuine checklist you don't want skipped.
Linear unlock — whether subtasks unlock in order rather than all being available at once. Use it where the sequence actually matters and doing step four before step two produces rework.
Auto-advance on subtasks — whether completing the subtasks moves the task along by itself, instead of someone remembering to change the status.
These are set per pipeline as defaults, so a Monthly bookkeeping task and a 1040 task can behave completely differently.
Automations
Completing a subtask is one of the events automations can fire on, so a checklist step can trigger something without anyone changing a status.
Notes and limits
- Subtasks belong to their task and don't appear as separate rows in the task list.
- Subtasks don't carry their own assignee or due date.
- Deleting a subtask doesn't affect the task's status, even where subtasks gate advancement.
