Book an appointment
Create a meeting, add attendees inside and outside the firm, and decide who can see it.
Appointments carry a client, a location, attendees, and a visibility setting. The last one is the one to get right.
Where to find it
Click the grid where you want it, or use the add control.
Create it
- Give it a Title — for example, Tax planning call.
- Set Starts and Length.
- Attach a Client, or choose No client.
- Pick a Location.
- Add Attendees.
- Set Visibility.
- Optionally set a Color.
Location
Three types:
- Office — pick which one, where your firm has several.
- Video — a room is attached automatically. Nothing to set up.
- Custom — free text for an address or a note, like 123 Main St, or notes.
Each shows a distinct icon on the calendar, so you can tell at a glance which of today's meetings you have to drive to.
Attendees
Search teammates or contacts, or type an email. That last part matters — an attendee doesn't have to exist in LedgerOS. An outside attorney or a client's banker can be added by address.
Teammates you add are marked Teammate · sees this on the firm calendar, so it's clear when adding someone puts the meeting on their calendar too.
Visibility
Firm-visible or Private.
Firm-visible means colleagues can see it on the firm calendar. Private means only you.
Default to firm-visible. Availability shading and "when is Marcus free" both depend on colleagues being able to see that time is taken. A calendar full of private appointments looks empty to everyone else, and people will book over you.
Private is right for genuinely personal entries, not for ordinary client work.
Video
Choosing Video attaches a room. Clients join by link — no account needed.
That's worth saying to clients when you send the invitation. The most common friction in a video meeting with an older client is the assumption they need to install something. They don't.
Notes and limits
- An appointment with a client appears on that client's record.
- Changing the time notifies attendees.
- Deleting an appointment cancels it for everyone on it.
- Colors are for your own organisation and carry no meaning to the system.
