Starting a call
From an appointment — set the location to Video and a room is attached automatically. Everyone on the appointment gets the link.
From team chat — Start video opens a call from any conversation, for the two-minute question that's faster spoken.
What your clients need
Nothing. Clients join by link — no account needed.
This removes the single most reliable source of friction in a client video meeting. The client who has never used your meeting software before, on their own laptop, ten minutes before the call — that's the scenario, and a link that just opens is the answer to it.
Say so in the invitation. Clients who expect to install something will start early and get anxious.
Recording
Auto-record meetings can be turned on so calls record without anyone remembering to press a button.
Think about this before enabling it firm-wide. Recording a client meeting has consequences — for what you say, for what they say, and for what you then hold. Some conversations are better unrecorded, and a firm-wide automatic setting removes the judgment call from the person in the room.
If you do use it, tell clients at the start of the call. Every time.
Usage
Participant-minutes this month shows your consumption. Video is metered by participant-minute, so a five-person hour costs five times a one-person hour.
When to use video instead
- Video — anything where you need to see a reaction, walk someone through a document, or handle a difficult conversation.
- A phone call — logged in the inbox and convertible to a time entry, which video is not.
- Text or email — anything where a written record is the point.
Notes and limits
- Rooms attach to appointments and to chat conversations, not to clients or jobs directly.
- Leaving a call doesn't end it for everyone else.
- Recordings consume storage.
- Video settings are firm-wide.
