Invite a client to the portal

Give someone on the client side a login — and what to do when the invitation email cannot be sent.

The portal is where your clients upload documents, sign things, and pay invoices. Nobody gets access until you invite them by name.

Send an invitation

  1. Open the client and go to Portal Access.
  2. Click to invite a new portal user.
  3. Enter the Email address. This is the address they'll log in with.
  4. Optionally add a Display name — how they'll be addressed.
  5. Tick Set as primary contact if this is the main person for this client.
  6. Click Send invite.

What happens next

One of two things, and the difference matters.

If email sending is configured, the invitation goes out and you'll see a confirmation naming the address it went to. The client clicks the link and sets up their login.

If email sending isn't configured yet, the invitation is still created — but instead of being emailed, the acceptance link is copied to your clipboard. You'll see a notice telling you the invite was created and the link copied. Paste that link to the client however you like.

The invitation is equally valid either way. The only difference is who delivers the link. If you're setting up before your firm's email sending is live, the clipboard route works perfectly well.

Managing existing portal users

The Portal users list shows everyone with access to this client, with the primary contact marked Primary.

  • Resend invite — sends the invitation again, for someone who lost or never received it.
  • Re-enable access — restores someone whose access was switched off.

Access can also be revoked. Revoking an invitation that hasn't been accepted cancels it; the link stops working.

What clients see

There's a preview on this tab labelled What clients see. Use it before inviting someone for the first time — it's the fastest way to catch a document request that reads clearly to you and confusingly to them.

Notes and limits

  • Portal access is per client. Someone who deals with three of your entities needs an invitation on each, or a client group.
  • The email address is the identity. Changing which address someone logs in with means a new invitation, not an edit.
  • Marking someone primary doesn't grant extra permissions — it marks who the main contact is.
  • Revoking access does not delete anything they uploaded.
